Scion Nonprofit Staffing has been engaged in conducting an immediate search for an experienced Senior Nonprofit Operations Consultant for our partner, a wonderful nonprofit organization! This incredible role works closely with the leadership team to document existing operational processes along with enhancing them, ensuring efficiency and effectiveness across various domains. As a start-up nonprofit in NYC, the organization is dedicated to driving social impact and supporting local initiatives.

The Senior Nonprofit Operations Consultant will be instrumental in improving and documenting existing processes and creating best practices to institutionalize the work of the nonprofit. This position requires a strategic thinker who is also highly hands-on, with the ability to execute tasks and drive initiatives. The ideal candidate is a "doer" who can manage both high-level strategy and detailed implementation. This interim position is for immediate hire, with a preference for onsite work, but open to remote candidates.


RESPONSIBILITIES
  • Process Documentation:
    • Develop, document, and refine operational processes to enhance efficiency and effectiveness.

Processes will be focused on, but not limited to,
  • Financial Management:
    • Defining Existing / Creating a Budget planning and tracking processes.
    • Financial reporting procedures.
    • Expense approval and reimbursement protocols.
    • Outline grants/funds management and allocation processes.
    • Create/define reporting processes/structures to leadership (i.e. the creation of reports for management to receive updates)
  • Operational Procedures:
    • Outlining existing and defining daily operational workflows.
    • Resource allocation and management.
    • Vendor management and procurement processes.
  • Program & Grants Management:
    • Outlining existing programmatic commitments and outline processes
    • Outlining and cataloging existing grants distributed and requirements & status
    • Program development and evaluation processes.
    • Monitoring and reporting on program outcomes.
    • Stakeholder engagement and communication protocols.
    • Create/define reporting processes/structures to leadership (i.e. the creation of reports for management to receive updates)
  • Human Resources:
    • Engaging Existing Staff & Understanding/Documenting Existing Activitie
    • Recruitment and onboarding processes
    • Performance evaluation and management
    • Employee development and training programs.
  • Compliance and Risk Management:
    • Compliance with legal and regulatory requirements.
    • Risk assessment and mitigation strategies
    • Internal audit processes.
  • IT and Data Management:
    • Data collection, storage, and analysis procedures, working in partnership with the outsourced IT provider.
    • IT infrastructure management, working in partnership with the outsourced IT provider.
    • Cybersecurity protocols and data protection measures, working in partnership with the outsourced IT provider.
    • Ensure processes are clearly documented and easily accessible to all team members.
  • Vendor Assessment:
    • Engage/Evaluate current vendors and establish criteria for future vendor engagements to ensure optimal performance and alignment with organizational goals.
  • Activity Analysis:
    • Gain a deep understanding of the organizations's existing programmatic and financial activities to document them and identify areas for improvement.
    • Analyze current activities and recommend improvements to streamline operations.
  • Gap Identification:
    • Conduct thorough assessments to identify operational gaps and risks, providing clear, actionable recommendations.
    • Create a comprehensive roadmap to address identified gaps and implement improvements.
  • Hands-On Implementation:
    • Take a hands-on approach to creating and updating processes, ensuring seamless transition from assessment to implementation.
    • Work closely with the team to implement recommended changes and monitor their effectiveness.
  • Financial Navigation:
    • Identify and address gaps in budget navigation by documenting existing and establishing new robust processes and procedures for financial management.
    • Ensure financial reports are accurate and compliant with standards.
  • SWOT Analysis / Organizational Manual:
    • Outline existing processes and activities of the organization
    • Conduct a comprehensive SWOT (Strengths, Weaknesses, Opportunities, and Threats) analysis of the organization.
    • Provide recommendations based on 501(c)(3) best practices to enhance organizational effectiveness and sustainability.
    • Develop strategies to leverage strengths, address weaknesses, capitalize on opportunities, and mitigate threats.
    • Update / Enhance existing organizational operations and leadership / hand-over manual with existing, updated and new processes and procedures.
    • Create/define new reporting processes/structures to leadership (i.e. the creation of reports for management to receive updates).
  • Strategic Planning:
    • Review strategy of existing draft strategic plan
    • Define focus areas of focus for the team
    • Define plan of execution
    • Develop a comprehensive roadmap for financial and operational processes post-transition.
    • Identify staffing and management options for operational systems.
  • Support and Mentorship:
    • Support and mentor current staff in completing key deliverables over the remainder of the year.
    • Assist in preparing materials for Board of Directors meetings and other key stakeholders.
  • Compliance and Controls:
    • Proactively maintain a strong controls environment, ensuring compliance with regulations, legal requirements, and policies.
    • Consistently analyze data and present reports in an accurate and timely manner.
  • Key Performance Indicators (KPIs):
    • Develop KPIs to measure the success of implemented processes and initiatives.
    • Regularly report on progress and outcomes.
  • Software Proficiency:
    • Proficiency in financial management software, project management tools, and other relevant applications.
  • Other Duties as Assigned:
    • Take on additional tasks as needed to support the organization's goals and operations

QUALIFICATIONS
  • Nonprofit Experience:
    • Extensive experience in the nonprofit sector.
  • Operational Expertise:
    • Proven experience in building and fixing processes within nonprofit organizations.
    • Strong problem-solving skills with the ability to provide actionable recommendations.
  • Hands-On Approach:
    • Demonstrated ability to be hands-on, with a clear expectation to execute activities within the operational domain.
  • Financial Acumen:
    • Solid understanding of nonprofit financial management and budgeting processes.
  • Program & Grant Making Experience:
    • Expertise in evaluating and defining plans to execute existing and new programmatic and grant making activities
  • SWOT Analysis Experience:
    • Experience conducting SWOT analyses and developing strategies based on 501(c)(3) best practices.
  • Adaptability:
    • Comfortable working in a dynamic, fast-paced environment with the flexibility to adapt to changing needs.


COMPENSATION & BENEFITS
This career opportunity provides a starting hourly pay of $62.00 to $68.00 DOE with room for further career growth over time, plus medical, dental, vision, and voluntary life insurance, an employee assistance plan (EAP), and commuter and transit benefits for those who are working on average 30 or more hours per week. An employee retirement plan is also available!
