Scion Staffing, Inc., a full-service national staffing firm, has been engaged to conduct an immediate search for a contract to hire Nonprofit Office Administrator for our client, a dynamic nonprofit organization committed to equity in serving underrepresented groups. This position is full time and hybrid (2 days onsite per week) in Seattle, WA.

SUMMARY
As the Office Administrator, you will play a key role in ensuring the smooth day-to-day operations and providing staff with the resources they need to thrive in their roles. This position is vital in fostering and maintaining the organization’s culture by promoting values and mission across all levels. The ideal candidate is eager to learn, works well in collaboration, excels at problem-solving, and helps create a positive and inclusive workplace environment.
 
RESPONSIBILITIES AND DUTIES
Operations - 45%
  • Manage and maintain inventory of office supplies including purchasing and receiving deliveries.
  • Support workflow and internal processes including implementation of trainings with staff.
  • Serve as point of contact for building management, vendors and members reservations and tenant needs.
  • Manage organization meetings and events, including coordinating space reservations, menu, materials needed, and support with on-site logistics
  • Provide general office assistance and other projects as needed.

Human Resources - 30%
  • Support on-boarding and off-boarding practices.
  • Partner with the Director, People & Operations in Onboarding activities including pre-boarding, calendar management, and Day 1 orientation.
  • Create and maintain open lines of communication to foster a sense of community and belonging among employees.
  • Leading various office culture programs: Onboarding buddy, birthday celebration, anniversary recognition, etc.
  • Collaborate with leaders to integrate cultural values into all areas of the organization.

Technology - 15%
  • Maintain partnerships with IT vendor.
  • Manage laptop inventory with corresponding asset tags.
  • Partner with IT Vendor to troubleshoot and manage IT issues, office equipment, internet, software/web-based applications, and AV systems.
  • Order and manage IT equipment as needed.

Other -10%
  • Engage in enterprise-wide activities and team building, including staff meetings, peer coaching, learning and development, staff committees, and other duties as assigned.

REQUIREMENTS
  • 3+ years of experience managing day to day office and administrative operations.
  • Advanced skills with technology and comfort with trouble-shooting technical fixes, including cloud-based platform like MS Office 365.
  • Exceptional time management skills, including recognition of opportunities to streamline and accommodate changes in scope of work and timeline
  • Excellent written and verbal communication skills
  • Exceptional interpersonal skills and demonstrated ability to work effectively and respectfully with politically, ideologically, culturally, and geographically diverse people and communities.
  • Experience with advancing social justice and racial equity in organizations and/or communities.

COMPENSATION & BENEFITS
The hourly pay offered is between $30-$33.66/hr. with medical benefits while on assignment - upon conversion to permanent employment, you can expect an annual salary up to $70,000 in addition to comprehensive benefits consisting of medical, dental, retirement contribution by the employer (6% of salary and additional up to 2% dollar to dollar match (up to $1,800/year) to employee contribution), professional development, paid holidays, and generous vacation policy.
