Scion Staffing has been engaged to conduct an immediate search for an experienced Executive Assistant for our client, a nonprofit for environmental causes across the globe.
**Role will be remote until they shift the workforce into a new office in San Francisco and then this role will be hybrid (3 days in office, 2 days remote). This may take over a year or not happen at all, but you have to be local to the Bay Area.

RESPONSIBILITIES:
- Manage CEO's calendar, including scheduling/rescheduling appointments
- Draft and manage emails and correspondence on behalf of the CEO
- Arrange travel plans, itineraries, and agendas including travel VISA requirements as needed
- Prepare documents and research for meetings
- Record meeting minutes/notes as needed
- Keep the CEO informed of upcoming commitments and follow up as necessary
- Track expenses and upload receipts to the expense portal
- Fundraising & Research Support
- Assist with fundraising events as needed
- Update CRM (Salesforce) and follow up after key fundraising meetings
- Draft donor briefs and background materials for donor/investor meetings
- Research, prioritize, and follow up on incoming requests, including sensitive/confidential matters
- Proofread and edit documents as requested
- Run personal errands for the CEO, anticipating needs and offering thoughtful solutions
- Coordinate meal planning and orders for business meetings, ensuring dietary preferences are met
- Support event planning and execution, from vendor coordination to guest list management
- Manage CEO's health and wellness appointments
- Select, purchase, and arrange delivery of gifts aligned with the CEO's preferences
- Travel internationally with the CEO about 20% a year
QUALIFICATIONS
- 5+ years of experience as an Executive Assistant within a nonprofit required
- Local to the Bay Area
- Ability to work evenings, weekends, and non-traditional hours
- Intermediate skills in Microsoft Office Suite
- Intermediate skills with Google Docs
- Proficient in Zoom, Slack, and Adobe Acrobat
- Familiarity with Salesforce preferred
- Valid Passport for international travel
COMPENSATION AND BENEFITS:
This exciting career opportunity allows you to work with a brilliant and thriving team! The salary range for this role is between $110,000-$120,000 DOE, plus a comprehensive benefits package that includes 100% employer paid Medical, Dental, and Vision Insurance with no deductible, Life Insurance, 21 days of PTO, 403(b) participation + 6% match, plus 10 Day Paid Year End Company Closure days.
